How project files are transferred, used, delivered and retained.
Sending and using files
Use the transfer method agreed with our team, check link permissions and keep independent backups of original material. Editing Factory is not a permanent archive. Files are used for the approved project by authorised people and necessary providers. Tell us about confidential or restricted material before transfer.
Checks and changes
We report missing, corrupt or unusable material found during preparation. Output quality partly depends on supplied files. New footage may change the quote and schedule.
Ten-calendar-day retention
Source footage, project files and final exports are retained for 10 calendar days from final delivery. Final delivery is the date agreed final videos are delivered after included revisions, or when you confirm no more revisions are needed. The delivery message states the date and expiry. Files needed for active revisions or unresolved delivery issues remain until that work is complete.
Download and backup
Download, check and back up final files before the retention period ends. Tell us promptly if a delivery link does not work. A transfer link may expire separately, as stated when shared; its expiry does not change the project-retention period.
Deletion and extended storage
After the period, files may be permanently deleted without further notice. Recovery and re-delivery cannot be guaranteed. System backups can last until normal rotation but are not a client archive. Legal obligations, active disputes or an agreed archive arrangement may require longer retention. Request extended storage before expiry; availability and fees must be agreed in writing.
Editable files and early deletion
Working timelines, templates, project files and intermediate exports are not automatically delivered. Handover and third-party licences must be specified in the quotation. You may request early deletion; we explain effects on active work and any legal or technical limits. Invoices, contracts and essential correspondence follow separate retention requirements.
